Billing hours and media fees
Usage-based charges — hours beyond a budget, a share of media spend, units delivered — are billed from figures confirmed for the period, multiplied by the contract rate and bounded by any minimum or cap the contract sets.

Which usage charges does Valtor calculate?
- Rate times quantity: hours, days or units at the contract rate.
- Percentage: a share of net media spend or another base, such as 15%.
- Tiered prices, where the rate changes with the volume.
- A minimum or maximum on any charge.
Media fee example: 15% of net media spend, at least €2,000 a month. With €9,800 of spend, 15% is only €1,470, so the €2,000 minimum applies. With €41,200 of spend it is €6,180.
Hours budget example: 120 prepaid hours at €110 are €13,200. 14 hours beyond the budget bill at €110 each: €1,540.
Where do the figures come from?
From the people who know them. Each usage item can be assigned to a delivery lead, who enters the period's figures in Valtor without seeing any amounts. Alternatively, figures arrive through an Excel workbook upload.
Finance accepts every figure before it reaches an invoice.
What if the figures are late?
The invoice waits; nothing is estimated. Valtor mails the responsible person a set number of days before the invoice date and, if nothing arrives, escalates along a chain you define — from team lead to managing director.
These reminders go to your own team only, never to your client.
How do minimums, caps and prepaid allowances work across months?
Some commitments span several charges or periods: a minimum purchase (Mindestabnahme), a maximum amount (Höchstbetrag), or a prepaid allowance (Kontingent) that is drawn down. Valtor tracks them period by period and settles the difference when the period closes.
Questions and answers
Can my delivery team see invoice amounts?
No. A delivery lead sees only the items assigned to them and enters quantities. Amounts stay with finance.
Can figures be imported from a spreadsheet?
Yes, through an Excel workbook upload. Finance still accepts every figure.
